Who sees your documents, how long we keep them, and what happens when you leave.
We don’t train AI on your documents
Docentra doesn’t use your documents, or anything in them, to train AI models. They are read for your company alone.
Only the people you invite
Only the people in your company can open its records, and everyone confirms their email address before joining. Owners and admins manage settings and people; members work with agreements, invoices and findings.
Every change is logged
Who did what, and when: every confirmation, correction and decision on a finding. The log is in your Excel export, ready for your auditor.
We never write to your suppliers
Docentra sends nothing to a supplier. Doc Agent drafts the email, and finance decides whether to send it, from their own email.
Kept while you use it
Your documents and records stay as long as you use Docentra. Logs are deleted after 24 months at the latest, and backups after 30 days.
Deleted when you leave
Download everything under Settings › Export first. Then an owner deletes the company in Settings: it is gone at once, and out of our backups within 30 days.

- Who at Docentra can see our data?
- In Docentra, only the people your company invites can open its records, and that includes us. Our own list of customers shows totals, such as how many documents arrived, never what they say. Ask us how access to the servers is controlled.
- What is encrypted?
- Original documents are encrypted with a key for each company, backups are encrypted, and the app is only served over an encrypted connection.
- How do documents reach Docentra?
- You upload them, they are sent or forwarded to your company’s own Docentra email address, or they come from your accounting system. Mail from a new sender waits until an owner or admin accepts the sender.
- Can Docentra connect to our own systems?
- Yes. Your own systems or AI assistant can read your records, with a key an owner or admin creates or after a person signs in, and a key can also send documents in. Addresses an owner or admin adds get a signed message when something happens. Removing a key or a connection cuts it off at once. Ask us about your accounting system.
- Can we sign in with single sign-on?
- Not today. Everyone signs in with their email address and a password of at least 12 characters, once the address is confirmed. Ask us if you need it.
- Can we get a data processing agreement?
- Yes, on request, together with the list of sub-processors we use. Ask us for it.
- Who leads security, and where do we report a problem?
