Connect Billy
You create an access token in Billy and paste it into Docentra. Docentra then reads your booked supplier invoices with their documents, and can see what has been paid.
Who does it: You, in about three minutes. Billy is now part of Shine, so you may see Shine instead of Billy.
Before you start
- You need to be an owner or admin in Billy. A limited admin can't create access tokens.
- If you have several companies in Billy, first switch to the right one at the top left. A token belongs to one company.
Steps
Open the access tokens
In Billy, open Settings (Indstillinger, the gear in the left menu), choose Company (Virksomhed) at the top, then the tab Access tokens (Adgangsnøgler). Choose Create access token (Opret adgangsnøgle).
Create a token named Docentra
Name the token Docentra, so you can tell later what it is for, and choose Create (Opret).
Copy the token
Billy shows the token. Choose Copy to clipboard (Kopier til udklipsholder), so all of it is copied.
Paste the token into Docentra
In Docentra, open Settings › Accounting system, choose Connect next to Billy, paste the token and choose Connect.
Docentra starts reading
From now on, Docentra reads the supplier invoices you book, and syncs automatically every six hours. Invoices booked before you connected are read only if you ask Docentra, for example to check the last year too.
What the access allows
A Billy access token can't be limited to reading. The token doesn't expire, and it reaches only the company it was created in.
Docentra only reads. It never creates, changes or deletes anything in your system.
Removing access
In Docentra: open Settings › Accounting system and choose Disconnect. The booked entries are removed from Docentra, but invoices Docentra has already read stay.
In Billy: open Settings › Company › Access tokens and delete the Docentra token from the “…” menu at the end of its row. After that, Docentra can't read anything.
If something goes wrong
- “The system didn't accept these details”
- Only part of the token was copied, or the token has been deleted in Billy. Create a new token and use Copy to clipboard.
- Docentra reads the wrong company
- The token was created in another company. Disconnect, switch company in Billy, and create a new token there.
- “Another accounting system is connected”
- Docentra reads only one accounting system per company. Disconnect the other system first, then connect this one.
- “Billy no longer gives Docentra access”
- The access was removed in Billy, or the person who connected it can't sign in any more. Choose Connect again.
